Effective
September 30, 2026

01Introduction, Scope, and Corporate Hierarchy

1.1About This Policy#

This Privacy Policy explains how Aegis Acquisition Companies (“Aegis,” “Company,” “we,” “us,” or “our”), operating the proprietary VisionSync software platform (collectively, “VisionSync,” the “Service,” or the “Platform”), collects, uses, discloses, stores, and protects personal information. VisionSync is a commercial, autonomous software-as-a-service (SaaS) solution providing automated webinar hosting infrastructure, “Simulive” (simulated live) presentation streaming, interactive chat systems, conversational artificial intelligence (AI) co-host integrations, and CRM pipeline hand-offs. This Policy governs all interactions with VisionSync across any corresponding websites, web applications, customer portals, and APIs. This Policy must be read in direct conjunction with our VisionSync Terms of Service and the overarching Aegis Acquisition Companies Master Terms of Service.

1.2Who This Policy Applies To#

The Service is a business-to-business (B2B) platform intended strictly for commercial organizations, agencies, and authorized business professionals. This Policy addresses our data practices with respect to two distinct categories of individuals:

  • (a)
    Customers / Account Holders (“Users”): Business owners, operators, and authorized personnel who register for, subscribe to, configure, and manage VisionSync accounts and broadcast funnels.
  • (b)
    Webinar Registrants and Attendees (“Attendee Data” / “User Data”): Third-party prospective buyers, clients, and leads who register for, attend, view, or interact with webinars and automated presentations hosted by our Customers using the Platform.

1.3Controller and Processor Roles (CCPA/CPRA and GDPR)#

Data privacy legislation establishes distinct legal roles for entities handling personal data:

  • (a)
    VisionSync as a Data Controller: With respect to customer account registration details, direct billing records, login credentials, technical device metadata, and administrative communication data relating to our Customers, Aegis Acquisition Companies acts as a Data Controller.
  • (b)
    VisionSync as a Data Processor / Service Provider: With respect to all Attendee Data (including registrant contact details, chat messages, attendance timestamps, viewing behavior, and survey responses) uploaded, imported, or collected through our Customers’ webinars, the Customer acts exclusively as the Data Controller (or “Business”), and Aegis/VisionSync acts strictly as a Data Processor (or “Service Provider”). We process Attendee Data solely on the Customer’s behalf, pursuant to their documented instructions, and in accordance with these Terms and this Policy. The Customer remains solely responsible for establishing a lawful basis for processing and securing all legally required consents from attendees prior to collecting or storing their data through the Service.

02Information We Collect

2.1Customer Account and Identity Information#

When you register for, subscribe to, or access VisionSync, we collect information necessary to establish, authenticate, and maintain your account. This includes your full legal name, business email address, company name, business phone number, billing address, and account credentials. In accordance with our Credential Isolation Architecture, your account is secured by an isolated, software-specific password and encrypted API tokens. Passwords are cryptographically salted and hashed using industry-standard one-way algorithms; we never store plain-text passwords.

2.2Payment Information and Tokenized Vault Records#

Subscription and fee transactions for VisionSync are processed through Aegis Acquisition Companies utilizing an authorized PCI-DSS Level 1 compliant payment gateway and secure customer vault. When you enter payment details (credit/debit card or ACH banking information), the data is transmitted directly to our authorized payment processor for tokenization. Aegis and VisionSync store only the secure payment vault token, card brand, expiration date, and the last four digits of the payment card for administrative verification. We never store raw credit card numbers, CVV/CVC codes, or sensitive banking credentials on our application servers.

2.3Subscription and Usage Data#

We maintain records of your subscription tier, billing cycles, payment transaction history, invoice receipts, active feature modules, concurrent attendee limits, bandwidth allocations, and account standing (Active, Past Due, or Suspended).

2.4Device, Streaming Telemetry, and Technical Log Data#

When Users or attendees access the Service or view a webinar stream, our servers automatically record technical metadata to ensure streaming performance and platform security. This data includes:

  • (a)
    Internet Protocol (IP) addresses and geographic location estimates (country and region);
  • (b)
    Browser type, user-agent strings, and operating system versions;
  • (c)
    Unique device identifiers and hardware connection signatures;
  • (d)
    HTTP Live Streaming (HLS) segment requests, streaming bandwidth consumption, buffer frequencies, playback progress, and time spent in presentations;
  • (e)
    Session tokens, referring URLs, access timestamps, and system error logs.

2.5Customer Media Content#

We host and process the digital media assets uploaded by Customers to run presentations, including recorded video files, audio tracks, slide decks, presentation graphics, and marketing copy (“Customer Media Content”). All video content is processed through our proprietary encoding pipeline, secured by HLS encryption and signed URLs, and stored in private cloud storage accessible solely by the authorized account holder.

2.6Webinar Attendee Data (Processed for Customers)#

When individuals register for or attend a Customer’s webinar hosted via VisionSync, we process information collected through the Customer’s registration pages and presentation rooms on behalf of the Customer. This data includes:

  • (a)
    Registrant Information: Names, email addresses, mobile phone numbers, job titles, and custom form responses requested by the Customer;
  • (b)
    Attendance Telemetry: Registration timestamps, live arrival time, drop-off time, total viewing duration, and completion rates;
  • (c)
    Engagement Records: Public and private chat messages, questions submitted to Q&A modules, responses to interactive polls, and clicks on promotional offer links or calendar booking widgets;
  • (d)
    AI Interaction Transcripts: Written inquiries and conversational exchanges between attendees and our autonomous AI co-hosts (including Emily and Crispin).

2.7AI Interaction and Voice Overdubbing Processing#

VisionSync incorporates advanced conversational AI agents (Emily & Crispin) and synthetic AI voice overdubs. When an attendee interacts with an AI co-host via chat, or when a presentation uses dynamic voice overdubbing, the text and audio streams are processed strictly in real time to generate appropriate conversational replies and tailored audio playback. AI interaction data is processed solely to fulfill the real-time presentation experience for the Customer’s audience. VisionSync and Aegis do NOT sell, license, or utilize Customer Media Content, attendee chat logs, or proprietary sales scripts to train public artificial intelligence models.

2.8Communications#

When you submit support tickets, feature requests, or inquiries to support@visionsyncapp.com or team@aegisacquisitioncompanies.com, we collect and retain records of your communications, email addresses, and attachments to resolve technical issues and maintain service quality.

2.9Website Assistant Enquiries#

When you ask VisionSync’s website assistant (Emily or Crispin) to arrange a strategy call, it collects your name, email address, phone number, industry, approximate monthly revenue and why you are interested, and shows them to you to confirm. Only when you press Confirm do we keep them, with the time you confirmed and the wording you agreed to, so the VisionSync team can contact you about that call. We keep confirmed details until you ask us to delete them, which we do on request; details you did not confirm are deleted after 90 days. Website chat transcripts are kept without email addresses or phone numbers and are deleted 90 days after the conversation began.

03How We Use Information

We utilize the information we collect and process for the following specific commercial and operational purposes:

3.1Operating and Delivering the Service#

To provision, host, encode, encrypt, and stream high-definition video webinars; maintain interactive chat and Q&A infrastructure; operate AI co-host state machines; manage dynamic video branching; route calendar booking events; and synchronize qualified leads to integrated CRM pipelines (such as AcquireHub).

3.2Billing, Accounting, and Subscription Management#

To process recurring subscription charges, calculate volume-based attendee or bandwidth allocations, manage invoices, prevent payment fraud, and administer account cancellations or status updates.

3.3Platform Security, Anti-Piracy, and Network Integrity#

To monitor infrastructure stability; enforce rate limits and session security; authenticate User credentials; detect and prevent distributed denial-of-service (DDoS) attacks; prevent video stream ripping and unauthorized scraping; and enforce the VisionSync Terms of Service.

3.4Regulatory, Legal, and Carrier Compliance#

To verify adherence to applicable telecommunications laws, mobile messaging standards (A2P 10DLC registration), truth-in-advertising guidelines (FTC regulations), synthetic media transparency statutes, and data privacy legislation.

3.5Customer Support and Technical Optimization#

To diagnose server errors, resolve video playback latency, troubleshoot API webhook delivery, and assist Users with operational inquiries.

3.6Aggregated and Anonymized Analytics#

To compile de-identified, aggregate statistical benchmarks (such as platform-wide uptime, average streaming latency, and general engagement trends). Such aggregated data does not identify any individual User, customer organization, or webinar attendee.

04How We Share Information

VisionSync does not sell, trade, or monetize personal information. We disclose data strictly as outlined below:

4.1Sub-Processors and Infrastructure Providers#

We transmit data to vetted third-party service providers who assist us in operating our high-availability platform under strict confidentiality and data protection agreements. These sub-processors include:

  • (a)
    Cloud Infrastructure & Hosting: Enterprise cloud hosting providers (e.g., AWS, Google Cloud) hosting our encrypted databases and containerized streaming servers;
  • (b)
    Content Delivery Networks (CDNs): Global edge networks delivering encrypted HLS video chunks to attendees with minimal latency;
  • (c)
    Payment Gateways & Merchant Processors: PCI-compliant vault processors managing tokenized recurring billing;

4.2Integrated Third-Party Platforms#

When a Customer configures native integrations or external webhooks (e.g., connecting VisionSync to AcquireHub, external CRM databases, Google Workspace, or Zoom), VisionSync transmits the specified lead and event payloads directly to the Customer’s integrated third-party service. The Customer is solely responsible for reviewing the privacy policies and security configurations of their integrated third-party platforms.

4.3Inter-Company Authentication & Ecosystem Harmony#

VisionSync is an operating software product under the Aegis Acquisition Companies corporate umbrella. User account identifiers and subscription statuses are synchronized with the central Aegis hosting database to enable Single Sign-On (SSO) authentication and consolidated billing across the software ecosystem.

4.4Legal, Regulatory, and Protective Disclosures#

We may disclose personal data if required to do so by law, subpoena, court order, or governmental regulatory authority, or if we believe in good faith that disclosure is necessary to: (a) investigate, prevent, or take action regarding suspected illegal activities, fraud, or violations of our Terms of Service; (b) respond to regulatory investigations regarding telemarketing, consumer protection, or synthetic media compliance; or (c) protect the personal safety, property, or legal rights of Aegis, VisionSync, our employees, or the public.

4.5Corporate Reorganization and Business Transfers#

If Aegis Acquisition Companies undergoes a merger, acquisition, corporate reorganization, asset sale, or bankruptcy, User account data and operational infrastructure may be transferred to the acquiring business entity as part of the transaction, provided the acquiring entity agrees to uphold the material commitments of this Privacy Policy.

4.6Absolute Prohibition on Sale or Sharing of Personal Information#

VisionSync does NOT sell personal information or User Data for monetary or commercial consideration, nor do we “share” personal information for cross-context behavioral advertising under the California Consumer Privacy Act (CCPA/CPRA).

05Cookies, Video Stream Security, and Data Retention

5.1Essential Cookies and Session Storage#

We utilize essential HTTP cookies, local browser storage, and cryptographic JSON Web Tokens (JWT) strictly for functional purposes: (a) maintaining active, authenticated User sessions; (b) verifying isolated workspace security; (c) tracking video playback positioning and volume states; and (d) load-balancing streaming traffic across edge servers. We do not utilize third-party cross-site advertising or behavioral tracking cookies on the Service.

5.2Video Encryption & Stream Asset Security#

Customer Media Content is protected using proprietary HTTP Live Streaming (HLS) segmentation, dynamic cryptographic key rotation, and time-limited signed URLs. These safeguards prevent unauthorized stream interception, URL hotlinking, and automated media ripping.

5.3Data Retention Schedules#

  • (a)
    Customer Account Information: Maintained for the duration of your active subscription and as necessary to comply with tax, legal, and financial auditing obligations (typically up to seven years).
  • (b)
    Customer Media Content and Video Presentations: Maintained during active subscription status. Upon account cancellation or termination, video assets and configurations remain accessible through the end of the paid billing period.
  • (c)
    Attendee Data & Lead Records: Maintained on active servers as instructed by the Customer. Following account termination, Customers have a strict fourteen (14) calendar day grace period to submit a written request to support@visionsyncapp.com to export raw attendee records and chat logs in CSV format. Following the expiration of this 14-day grace period, all Customer Media Content, attendee contact records, and system configurations are permanently purged from active production databases in accordance with our data retention schedules.

5.4Technical and Organizational Security Safeguards#

We implement enterprise-grade technical, administrative, and physical security measures designed to protect information against unauthorized access, destruction, loss, or alteration. These safeguards include TLS 1.3 encryption for all data in transit, AES-256 encryption for data at rest, isolated database subnets, multi-factor administrative authentication, and continuous automated vulnerability monitoring. However, no internet transmission or cloud storage system is guaranteed to be 100% impenetrable; Customers are strictly responsible for safeguarding their login credentials and isolated workspace passwords.
